SUMMARY:

The Human Resource and Practice Manager will coordinate the implementation of people related services, policies and office administration.

JOB DESCRIPTION

The Practice Manager would be expected to carry out roles relating to leadership, human resource management, implementing various Firm projects such as ICT related matters and Digital Strategy, office administration and management to maintain and grow the practice at the law firm including the following specific roles: –

  1. Assisting to the Partners of the firm by taking ownership of key Firm projects and their implementation.
  2. HR Support- Maintain accurate and confidential employees record including but not limited to induction/employment contracts, grievances, leave, disciplinary proceedings as well as to promote a positive work environment through engagement initiatives, team-building activities, and communication strategies.
  3. Fostering Employee Development – Supervise and ensure that continuous professional development and trainings are conducted by the members of the firm.
  4. Recruitment; to assist and support the firm in the hiring, training of administrative staff.
  5. Supervise and coach all staff to report directly to the Partners of the firm on a day-to- day basis by coordinating regular staff meetings, performance reviews and appraisals.
  6. Working on the firm’s strategy and plans to procure new clients for the firm and retention of already existing clients as well as firm’s policy and approach in undertaking expression of interest to tenders, conducting client surveys amongst others.
  7. Renumeration, Compensation and Benefits Management; ensure that all documentation meets the required standards of employment, ensuring competitive and equitable pay practices, administer employee’s benefits programs, including health insurance, retirement plans, and review employees’ leave reports, policies and conduct salary reviews and benchmarking to ensure market competitiveness.
  8. Compliance and Policy Administration– to ensure the management are in compliance with all the labour laws, policies and regulations, occupational safety legislations and ascertain that all firm’s documents and policies are up to date as required by the law.
  9. Organization of client’s record both manually and electronically through registration of all new clients and projects into the available electronic systems of the firm (TakingCare of Business (TCB) system) and liaising with Partners in assigning tasks to Associates.
  10. Updating of the firm’s client list on monthly basis in order to have accurate number of clients and their particulars.
  11. Manage the firm’s Taking Care of Business system to ensure it is effectively utilized by all Associates and Partners of the firm and implement accountability procedures so as all client particulars and respective projects including their documents are registered, uploaded and updated by Associates and approved by Partners.
  12. To update the firm’s insurance policies, business continuity policies. Also to develop and monitor procedures that ensures office security, control of disasters and recovery.
  13. Oversee the maintenance of office machinery and liaise with administration for the upkeep of the same in collaboration with the Firm’s IT department.
  14. To oversee the implementation of the Negotiation and Billing Policy to ensure proper billing on assignments by the Firm as well as ensuring all clients are billed before commencement of assignments.
  15. To oversee the Digital Strategy Action Plan by taking ownership and coordination of its implementation.
  16. Assist on the cross-border law firm’s affiliations by working with the partners of the Firm to review and finalize the affiliation roadmap and its implementation.

EDUCATION OTHER SKILLS REQUIRED

  1. Bachelor’s degree in Human Resources, Business Administration, or related field.
  2. Diploma or equivalent qualification in ICT.
  3. A Bachelor of Laws (LLB) is an added advantage.
  4. Minimum of 2-5 years of progressively responsible HR and law firm Practice Management roles.
  5. 2+ years of experience in Labor and Employee Relations.
  6. 2+ years in a supervisory or strategic HR role.

  10. Ability to independently provide guidance and timeous delivery on highly complex projects.
