Job Description
On behalf of our client we are looking for a human resourse officer who can join the team, so as to achieve the company's goal.
Requirements
1. Employee Relations & Disciplinary Support
- Assist in managing disciplinary cases in line with company policies and labour laws.
- Prepare disciplinary notices, warning letters, show-cause letters, and hearing invitations.
- Coordinate and document disciplinary hearings, including minutes, evidence, and outcomes.
- Ensure procedural fairness, adherence to timelines, and proper record-keeping.
2. Incident Investigation & Reporting
- Support investigations of workplace incidents, accidents, near misses, and misconduct cases.
- Collect statements, compile investigation reports, and recommend corrective actions.
- Maintain incident registers and support statutory reporting where applicable.
3. Performance Management & Appraisals
- Coordinate performance appraisal processes for production and administrative staff.
- Support supervisors in setting performance objectives and monitoring performance improvement plans (PIPs).
- Maintain accurate performance records and appraisal documentation.
4. Employee Onboarding & Offboarding
- Coordinate onboarding processes, including contracts, employee records, and induction.
- Ensure new employees are registered in the HRIS and assigned appropriate employment details.
- Manage offboarding processes, including resignations, terminations, exit interviews, clearance, and final documentation.
5. HRIS Administration & Data Management
- Maintain and update employee records in the HR Information System (HRIS).
- Register new hires, update employment changes, and ensure data accuracy and completeness.
- Support supervisors and time clerks with HRIS-related queries, particularly attendance and leave records.
- Generate HRIS reports on headcount, attendance, absenteeism, disciplinary cases, and staff movements.
- Ensure confidentiality, data security, and integrity of HR information.
6. HR Administration & Monthly Reporting
- Maintain accurate physical and electronic employee records.
- Assist in preparing monthly HR reports for management, including workforce statistics and HR metrics.
- Provide accurate HR inputs for payroll processing, including attendance, leave, overtime, and disciplinary deductions.
7. Compliance & Policy Implementation
- Support implementation and enforcement of HR policies and procedures.
- Assist during labour inspections, audits, and internal compliance reviews.
- Promote consistent HR practices across departments and shifts.
8. Coordination & Communication
- Liaise with supervisors, team leaders, and employees on HR matters.
- Communicate HR policies and procedures effectively to shop-floor employees.
- Handle employee inquiries professionally and confidentially.
Qualifications & Experience
- Bachelor’s degree in Human Resource Management, Industrial Relations, Law, or a related field.
- Minimum of three (3) years’ HR experience in an industrial or manufacturing environment.
- Proven hands-on experience supporting disciplinary hearings, incident investigations, and HR reporting.
- Practical exposure to HR Information Systems (HRIS) is mandatory.
Skills & Competencies
- Strong knowledge of labour laws and disciplinary procedures.
- Working knowledge of HRIS platforms (e.g., employee records, attendance, leave management, reporting).
- Ability to generate and interpret HR data and reports.
- Strong documentation, investigation, and report-writing skills.
- Proficiency in MS Excel and Word.
- High level of integrity, confidentiality, and professionalism.
Ability to work effectively in a production-driven, shift-based environment
